This policy explains how personal data is collected and used when you visit this website, contact TRP or become a client. It follows the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Information collected

  • Website visitors: this website uses no analytics or advertising cookies and has no contact forms. The hosting provider records technical information, such as IP address and browser type, in server logs used only to keep the site secure and running.
  • Enquiries: your name, contact details and anything you tell TRP when you email or call.
  • Clients: identity and contact details, date of birth, identity documents and proof of address, the results of identity, sanctions, politically exposed person and adverse media checks, tax references, and the business, financial, bank and payroll records needed to provide the services in your engagement letter. Clients may also complete TRP’s annual client confirmation form, hosted on Microsoft Forms and linked from this website.

How it is used, and the lawful basis

  • To provide the services agreed in your engagement letter (performance of a contract).
  • To meet legal obligations, including the Money Laundering, Terrorist Financing and Transfer of Funds (Information on the Payer) Regulations 2017, tax law and Companies House requirements (legal obligation).
  • To answer enquiries and manage the client relationship (legitimate interests).

Personal data is never sold. You can opt out of any marketing email at any time.

Who it is shared with

  • HMRC, Companies House and other authorities, where a filing requires it or the law requires disclosure.
  • AAT, TRP’s professional body and anti-money laundering supervisor, and the reviewers acting for it.
  • Service providers that process data for TRP under contract, such as accounting, payroll, practice management, identity verification and secure document storage software providers.
  • Professional advisers and insurers, where needed.

Where it is stored and how it is protected

Personal data is held in UK and EU data centres. The UK recognises the EU as providing adequate protection for personal data. TRP holds Cyber Essentials certification, and every system holding client data is protected by multi-factor authentication.

How long it is kept

Client records are kept for five years after the client relationship ends, the period the Money Laundering Regulations require, and then securely deleted. Enquiries that do not lead to an engagement are deleted once they are no longer needed.

Your rights

You have the right to access the personal data TRP holds about you, to have it corrected, erased or restricted, to object to its use, to receive it in a portable format, and to withdraw any consent you have given. Some rights are limited where the law requires TRP to keep records. Send any request to privacy@trpaccountancy.co.uk. Requests are answered within one month.

Cookies

This website uses only the cookies it needs to work and stay secure. It sets no analytics, advertising or tracking cookies.

Complaints

If you are unhappy with how your personal data has been handled, contact TRP first using the details above. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
